Student-athletes have a lot on their plate. Between practice, travel, homework, classes, training, and trying to squeeze in a social life, it can get overwhelming quickly.

A staggering 44% of today’s workforce has reported feelings of burnout, according to a recent Gallup poll. For young athletes, the risk of feeling this is even higher when you consider all of the above things going on in their lives.

Coaches and athletic staffers face similar challenges, both with their day-to-day responsibilities as well as going above and beyond to assist the student-athletes they mentor. To that end, Teamworks wants to help student-athletes and athletics administrators achieve a better work/life balance so that they can be at their best on and off the field.

On the importance of coaches and administrators communicating effectively to best serve student-athletes (9:20)

Davis: “When I was in the academic space, I really wanted to do a great job of delivering unique individual service to the student-athlete, because they’re all their own unique individual….folks on the sports medicine side were doing the same thing. We found ourselves competing for the time and energy of the student-athletes. You can’t do that in a silo. When we first started using Teamworks, we could have a calendar where I could schedule an advising appointment for a student and [the trainers and coaches] would know that that window of time wouldn’t be a good time to call the student-athlete in for treatment. So allowing the connectivity of those three different support groups really got rid of a lot of the mess and the noise of pulling those athletes in different directions all at the same time.”

On finding balance amidst the 24/7 nature of sports (13:40)

Caporaletti: “When you get the time to walk away, you’ve got to take it. It can be hard because of the competitive spirit that gets in you…You’ve really just got to get away when you can so that you can regroup and come back with more energy.”

On helping student-athletes avoid feeling burnt out (27:30)

Carlson: “Sometimes you just have to take them out of their normal environment. At Clemson, we’re really big on community service with organizations like Habitat for Humanity…we encourage student-athletes to be involved in things like that outside of athletics so that they can feel the normalcy of being a regular college student.”

Combating information overload with student-athletes (48:20)

Davis: “You don’t need to send a reminder to every athlete 30 minutes before practice. They know when they have practice. If you over communicate on small mundane things like that, you condition your student-athletes to not pay attention. Regardless of how you’re conveying information to your student-athletes, be responsible and do it in a way where you’re not just burying them with information and they have to be able to glean the really important things from the less important things.”

On the need for a brand identity to be timeless and authentic (4:00):

Brooks: “When you think about brands, you have to think long-term, not just the short term. We have such an iconic logo in the G… Our brand represents a lot when it comes to what Georgia is… and its history. It’s not something that has to be flashy and new. It’s about the longevity of that brand and how does it relate to the state, how does it relate to the city and to the mission of the athletic department and the university. It also has to strike this balance between being cutting edge but also [honoring the] tradition, and we’re a tradition-rich athletic department at the University of Georgia.”

On empowering fans to create shareable content like photos and videos at venues (24:20):

Rebich: “It’s about being able to tell that brand’s story from where it begins. In [UGA’s] case, that’s Sanford Stadium. We took that methodology… and when we work on anything experiential, we take that approach…We strive to understand where those shareable moments are and [allow people to share them] in a non-intrusive way. If you try to force it, it doesn’t feel natural.”

How important is formal market research when it comes to branding and rebranding? (44:24):

Rebich: “When we go through brand analysis and understanding if there is a juncture point of a potential rebrand, we definitely look at key stakeholders. So we talk to coaches, leadership, anybody that has been involved with the brand for X amount of time. They have a familiarity with it. Then from there, whether it is through holding town hall meetings or whatever it may be, having discussions with people who are secondary level and getting their perspective… along with taking a look at what else there is on the market… you take all that together, and you can make an informed, articulate decision on which way the brand needs to go.”

On enforcing brand standards and guidelines (52:15):

Brooks: “You’ve got to be the bad guy a lot of times and be the police with people. But the first thing is when you come up with the word mark and font that you use for ‘Georgia’ and ‘Bulldogs,’ people want to take that font and put it on everything… But you can water it down too much if you use it too much or use it in the wrong way. One of the things we really had to get through to people was that the ‘G’ stands alone. It takes a while and a lot of conversations to get people to understand that.”

The bar has risen when it comes to the performance needed to justify those expenditures, which puts a lot of strain on all parties involved. With that said, how do these marketers collaborate on the work and properly assess the performance of their partnership portfolios?

What metrics do you show to CFO or other execs to prove relevancy when it comes to partnerships? (9:40)

Frystak: “It’s all about compiling various data points that are all going to serve to supplement one another. A good example of this is we will track every single person that we will bring out to a hosting environment for any sponsorship related activation. Whatever the event is, we’re going to host thousands of people every year and we know every single person that is going to come out and we track it to the level of ‘who was the customer entity?’, ‘what was their title?’, ‘what sort of customer are they?’. Beyond that, we try to track what their revenue was prior to CDW hosting and then after…but that’s just one data point. After that, we can do surveying, we can ask our salespeople, we can ask our customers what they knew or thought about CDW before the activation and what they think about it now. All these data points together make this collage that you’ll then be able to draw your insights from.”

On changes in performance-based partnerships today (34:27)

Reynolds: “The digital migration of everything the last couple of years has just been incredible. If you talk about five years ago, the standard was you could throw an ad up on Facebook and you have some buttoned-up metrics and results immediately. We compete with that as marketers. You’re selling a premium product and experience and you want to be able to tell authentic stories for your brands that you work with, but there’s a big gap. If you’re not using project management versus spreadsheets, how do you get the work done? How do you prove it? How do you collaborate together and stand out in this era of performance-based partnerships. That’s the dynamic that we’re all dealing with right now.”

How emerging technologies are changing partnerships (50:10)

Baird: “Technology is making us all more efficient and time is money. Right now on the agency side, the hard part is trying to assess all the different options out there and what are the different platforms that have it all and what will never be. So it comes down to ‘how well do they talk to each other?’ ‘Are there open APIs?’ ‘Are there things we can automate?’ It’s an evolving process as we all try to figure out what are the tools each of us are using… So on the agency side, it’s more about assessing than helping get to that quicker close and execution process, but I do believe we’ll get there and we all need technology to get there.”

With the current digital landscape, should we expect more athlete sponsorships/partnerships? (54:38)

Frystak: “More and more athletes are becoming their own brands. There’s a lot more partnerships to be had with them directly versus the team that they’re on. It’s a landscape that I think is only going to continue to expand as they have greater opportunity and greater business wherewithal as well as greater social responsibility.”

On having success with long Instagram stories (11:17):

Dion: “When we started, we put limits on people… Eight slides was our goal, but [we wanted to] tell the story. That was another thing that we really instilled with our members is we want you to tell the story from start to finish. What we found was we were limiting their ability to tell the story. We were limiting their ability to do their story justice. So we slowly started to open it up and noticed that we weren’t getting drop off. So after last year we removed even a suggestion of how long they should be. Our softball story right now is 43 slides. They’re long, but some of the stuff that’s in it leads you to move along the story. Sports and storytelling go hand in hand and there needs to be a beginning, a middle, and and an end… it’s more genuine.”

Advantages of good strategy when it comes to Instagram stories (25:20):

Cicero: “One of the advantages for a strong story strategy is that it does complement the audience that you’re able to reach when you’re not creating stories content and vice versa. A great content strategy inside of the feed or your carousel strategy… those are almost a separate experience if you think about that because you have two behaviors. When I’m watching stories, I’m moving left to right. When I’m watching a feed, I’m moving up and down. The immersive experience of a story, I think, [attracts] people that are interested in that immersive experience or are on the go, but still want a full view of content.”

On having an Instagram live component when it comes to stories/growth strategy (40:30):

Cicero:”Live video is extremely powerful. The power of having someone’s attention is extremely powerful. So we have different windows of time that  we can reach you. Stories always seem to help with this ‘live-ish’ component. But then we’re always on the go. You can go live on [many platforms] but Instagram is nice. It’s in the palm of your hand. But something that’s baked into the stories feature is that it’s not permanent. So it can be a very newsworthy tool to make announcements and things of that nature. A live broadcast that you do might not be as valuable to someone 12 hours later though, and I think that’s one of the other things to think about.”

On utilizing stories highlights (49:20):

Dion:”It’s an evergreen placeholder. So if you have evergreen content that you want to be featured in a story like format, it’s a great place to do it. We don’t feature all of our takeovers for the mere fact that we do 300 a year, but we do use it for big moments. For example, if you’d like to return to see the best of last year in baseball, it’s there for you… So we use it pretty deliberately.”
